WhatsApp Business integration & automation

Client messages from the company's WhatsApp Business number land in the CRM, the manager replies from the CRM, and order updates go out as messages approved by Meta.

WhatsApp Business Platform is Meta's official way for a company to talk to clients from its own business number at scale: incoming messages, replies, media, buttons, and outgoing notifications. Many companies already keep the number on a phone and answer by hand, so the conversation lives in one manager's device and never reaches the CRM. We connect the client's WhatsApp Business account to their CRM: a message from a client becomes a conversation in the CRM attached to the right contact or a new lead, the manager replies from the CRM and the client sees an ordinary WhatsApp message, and the CRM sends updates about an order or an appointment using messages the company registered and Meta approved. The connection follows WhatsApp's rules: a reply in any wording is possible within a day after the client's last message, and outside that window only an approved message may be sent. This page is about the client's own WhatsApp Business number and Meta business account — we set up and connect it, the number and the conversations stay with the company.

What we connect

  • We agree what the company already has: a business number, a Meta business account, whether the number is currently used in the WhatsApp Business app on a phone — and which CRM the conversations should land in.
  • The company registers the number on the WhatsApp Business Platform through its Meta business account and confirms ownership; we walk through the steps together and the access stays with the company.
  • We set up the receiving side: WhatsApp itself reports every incoming message and every delivery status to the connection, and the connection writes it to the right conversation in the CRM within seconds.
  • We map the conversations to the CRM: matching by phone number to a contact, which pipeline a new number goes to, who gets assigned, and how a reply from the CRM is sent back to the client.
  • We prepare the outgoing messages the company will send first: order confirmation, appointment reminder, delivery update — write them in the languages needed, register them with Meta and wait for approval.
  • We test on real conversations: a client writes, the manager replies from the CRM, an order changes status and the client receives the approved message — and we check every step landed where it should.

Automation scenarios

01

Messages from the business number go into the CRM, not one phone

Before the WhatsApp number lives on the owner's phone; when he is busy, clients wait, and nobody else sees the conversation.

After every incoming message appears in the CRM as a conversation attached to the contact, any manager on shift replies from the CRM, and the client sees a normal reply from the same business number.

02

Order and delivery updates arrive by themselves

Before a manager writes to each client by hand that the order is packed and the parcel number is such-and-such, and forgets half of them.

After when the order changes status in the CRM, the client receives an approved WhatsApp message with the parcel number; the delivery status of that message is written back to the deal.

03

Appointment reminders that cut no-shows

Before the receptionist calls every client the day before and reaches a third of them.

After the day before the visit the client receives an approved WhatsApp message with the time and address and two buttons — confirm or reschedule; the answer goes into the CRM and the receptionist calls only those who asked to move the visit.

04

An AI assistant answers first, a person takes over

Before at night and on weekends messages pile up and clients go to a competitor who answered.

After the assistant replies within the open conversation window — answers about hours, availability and how to order from the CRM data — and when the question is about price or a complaint, it hands the conversation to a manager with a summary. Nothing is sent to a client outside the window except approved messages.

How it works technically

  • WhatsApp Business Platform is Meta's official product for companies to communicate with customers at scale from a business number.

  • The platform lets a connected system send and receive messages of many kinds — from plain text to media and interactive messages with buttons — and the messages to customers are encrypted.

  • The platform itself informs the connected system about incoming messages, the delivery status of outgoing ones, and changes to the account — so a message reaches the CRM without polling.

  • Pre-registered messages are the only kind that can be sent to a customer outside the conversation window that opens after the customer writes.

  • The same registered message can exist in several languages under one name, so a client gets the confirmation in his own language.

Limits

WhatsApp opens a conversation window of 24 hours after a client's message or call, and every new message from the client resets it; while the window is open the company may reply in its own words, and once it closes only messages registered in advance and approved by Meta may be sent. So a first message from the company — a reminder, a confirmation, a promotion — is always an approved message, and it must be prepared and registered ahead of time, with a wait for Meta's review. Meta also limits how many different phone numbers a company may write to first within a rolling day; the limit is set for the whole business portfolio and shared between all its numbers, starts small for a new portfolio and grows automatically as the quality of the messaging is confirmed. A number used in the WhatsApp Business app on a phone must be moved to the platform to take part, and the phone app then no longer serves that number. Approved messages are grouped into categories that affect how Meta charges the company; we take this into account when planning which messages to register, and the terms themselves are set by Meta, not by us.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

Can we keep answering from the WhatsApp Business app on the phone as well?
Not from the same number. A number is served either by the phone app or by the platform; once it is moved to the platform, all conversations go through the CRM. Managers still answer from their own screens, only inside the CRM instead of the phone app.
Can the CRM write to a client first, for example about a promotion?
Yes, with an approved message. The text is registered with Meta in advance, reviewed, and after approval the CRM can send it to clients who agreed to receive messages from the company. The number of new clients the company can write to first per day is limited by Meta and grows over time.
Whose number and whose account is it?
The company's. The business number, the Meta business account and all conversations belong to the client; we set up the connection to the CRM and hand over the access. If the cooperation ends, the number and the history stay with the company.
Will the client see that the reply comes from a system?
No. The client sees an ordinary message from the company's business number with its name and profile; where it was typed — in the CRM or by an assistant — is not visible. We recommend telling clients when an assistant is answering, and we set that up as a short first line.
