Claude API (Anthropic) integration & automation

Claude inside your CRM, phone system and chats: it reads whole documents and long client histories, drafts replies and proposals, fills in cards, and a person has the final say.

Claude is a language model made by Anthropic. We build it into the systems your team already uses: the CRM, the phone system, email and messengers. The model reads incoming requests and drafts replies, turns call recordings and letters into short notes in the deal card, fills in contact and order fields, and prepares a first version of a commercial proposal from your price list and the client's request. What sets this connection apart is how much material the model can hold at once: a whole PDF proposal, a year of correspondence with one client or a long call history fits into a single request. The model can also hand your systems a ready-made action, such as creating a task or moving a deal, and it can work through large piles of records in the background when nobody is waiting for an instant answer. A person stays in charge: anything sent to a client goes through a manager or through rules you approved in advance, and every result is marked as a draft, because the model can be wrong.

What we connect

  • Your own Anthropic account and access key: the connection runs under your account, you see the usage in your own console and can revoke the key at any time.
  • Reading requests from email, website forms and messengers: the model finds who is writing, what they need and when, and fills the lead card, taking the whole previous history with that client into account.
  • Call notes: a recording from your telephony is first turned into text by a speech recognition service, then Claude writes a short note with agreements, objections and next steps into the deal card.
  • Documents as they are: PDF proposals, specifications and scanned orders are read whole, including tables and charts, and the items, quantities, dates and addresses land in a fixed set of CRM fields.
  • Reply and proposal drafts: the model writes an answer in your tone or assembles a first version of a commercial proposal from your price list and the client's request; the manager checks, edits and sends.
  • Actions in your systems: the model can propose a ready-made action, such as creating a task, moving a deal to the next stage or scheduling a return call, and your CRM or telephony carries it out within the rules you set.
  • Background processing of large volumes: an archive of call recordings or thousands of old leads are handled in a batch mode overnight, when nobody is waiting for an instant answer, and the results are in the CRM by the morning.
  • Sending rules: what goes to the client automatically and what waits for a person is written down with you once and can be changed later.

Automation scenarios

01

A client sends a forty-page specification

Before the manager opens the PDF, reads it for an hour, retypes the items and quantities into the CRM and still misses a line.

After the whole document goes into one request, the model pulls the items, quantities, deadlines and delivery address into a fixed set of fields, and the manager compares them with the original in a few minutes and confirms.

02

An old client writes again after half a year

Before the manager scrolls through the old thread, does not remember what was promised and answers in general terms.

After the model reads the whole history with this client, from the first letter to the last call note, and drafts a reply that refers to the previous agreements and the products the client already bought; the manager only checks and sends.

03

A request for a commercial proposal

Before the manager looks up prices in a spreadsheet, copies a proposal from last year and rewrites it by hand for two hours.

After the model takes the client's request and your current price list, assembles a first version of the proposal with the right items and your standard terms, and the manager reads it, adjusts the details and sends it the same day.

04

A call ends and a task must appear

Before the manager promises to send the proposal by Friday, hangs up, gets the next call and forgets to write the task down.

After the note from the call lands in the deal card, and the model proposes a ready action, «create a task: send the proposal by Friday», which the CRM creates within the rules you set, so the promise does not get lost.

05

Thousands of old leads need sorting

Before the base from past years lies untouched because nobody has a week to read it.

After overnight the model works through the whole pile in a batch mode, each lead gets a type, a short summary and a suggested next step, and in the morning the head of sales sees a list of the ones worth calling first.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • By default Anthropic does not use inputs or outputs from its commercial products, including the platform connection, to train its models, unless the account owner explicitly allows it.

  • The model's working memory for one request, the context window, holds the conversation history plus the new answer; its size depends on the model and reaches up to a million units of text.

  • Claude answers questions about any text, pictures, charts and tables in the PDF documents you provide; all active models support PDF processing.

  • Tool use: Claude decides when to call a function described by the client based on the request and the function's description, and returns a structured call that the client's application executes.

  • Batch processing: the system creates a batch from the submitted requests and processes it asynchronously, each request independently, for tasks that do not need an instant answer.

  • Claude reads and writes in most world languages that use standard Unicode characters; performance varies by language and is strongest in widely spoken ones.

Limits

The model can be wrong: a note may miss a detail and an extracted field may be inaccurate, so every result is treated as a draft that a person checks, and messages to clients go out only after a manager's check or by rules approved in advance. Anthropic bills your own account for actual usage, and the amount depends on how much text the model reads and writes; per-minute request limits depend on the account's usage level, and when a limit is reached the service asks to wait, so our connection queues requests and repeats them rather than losing them. Long documents have a ceiling: a dense PDF with many pages of small print or heavy tables can exceed what fits into one request, so such files are split into parts. Background batch processing is meant for tasks that can wait: a batch that is not finished within a day expires, and its results are kept for 29 days. Files uploaded to Anthropic's storage are visible to the whole workspace of your account, not to one user, so sensitive documents are kept in separate workspaces. Anthropic lists Ukraine among the countries it supports access from, with an exception for certain territories named by the vendor. The model guesses the language of the answer from the conversation, so we set the reply language explicitly in the settings.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

How is this different from the OpenAI connection?
Both are language models, and we connect them to a CRM in the same way. We do not rank them against each other: the choice usually depends on your tasks and on which account you already have. On this page we describe what the Claude connection covers: reading whole documents and long client histories in one request, handing your systems a ready action, and processing large volumes in the background. If you are unsure, we test both on your real letters and calls before the start.
Will Anthropic learn from my clients' correspondence?
By Anthropic's own documentation, data from its commercial products, including the platform connection we use, is not used to train its models by default; that changes only if the account owner explicitly allows it. The connection runs under your own account, so this setting stays under your control. The link to the vendor's page is in the facts section below.
Will the model write to my clients on its own?
Only if you decide so. By default the model prepares a draft, and the manager reads it and sends it. For simple cases you can approve rules in advance, for example an automatic confirmation that a request was received. The same goes for actions in the CRM: the model proposes them, and what it may do without a person is written down in the rules.
Does it work in Ukrainian?
The vendor states that the model reads and writes in most world languages and that quality varies by language; it does not publish a separate figure for Ukrainian, so we do not promise one either. We set the reply language explicitly in the settings and test the model on your real letters and calls before the start; if the result is not good enough for some of the tasks, we say so honestly.
